Hybrid meetings have become an increasingly more popular solution for modern community governance, providing board members, managers, and community members the flexibility to participate in meetings either in person and virtually. But creating a smooth experience for everyone requires more than simply launching a virtual meeting link — it requires the right A/V setup to ensure your meeting runs smoothly. But, with the right equipement and some preparation, you can create a basic setup that will make sure your next hybrid meeting is a success.

What is a Hybrid Meeting?

For those who don’t know, a hybrid meeting is a meeting that combines in-person and virtual attendance, allowing participants to join either from the meeting room or remotely. This format gives communities more flexibility while still allowing everyone to participate equally in the meeting.

What do I Need for a Basic AV Meeting?

Setting up a functional hybrid meeting doesn’t always require professional A/V setup. With a few pieces of equipment you likely already have on-site, you can connect your in-person meeting space with your virtual attendees.

Sample Hybrid Meeting A/V Checklist

Below is a sample checklist for a basic hybrid meeting setup. Before the meeting, make sure you have:

Laptop A (A/V Bridge): A laptop with a working camera, microphone, and speakers. This laptop will manage the primary audio and video for the meeting.

Laptop B (Chair’s Laptop): A second laptop for the Chairperson to view the agenda and communicate with the Moderator.

HDMI Cable: Use an HDMI cable to connect Laptop A to the room’s TV or projector so attendees can see the virtual meeting.

Power Strips: Make sure all devices are connected to a power source throughout the meeting. Do not rely on battery power.

Room Setup & Placement

Once you have your equipment ready, proper placement is important for making sure virtual and in-person attendees can hear and see each other clearly.

Laptop A – A/V Bridge: Place Laptop A at the front of the room and connect it to the TV or projector using the HDMI cable. Position the camera so that it faces the Board Members and virtual attendees can clearly see them.

Useful Tip: Make sure the system volume is high enough for everyone in the room to hear virtual speakers.

Laptop B – Chair’s Laptop: Place Laptop B directly in front of the Chairperson. This laptop will be used to view the agenda and communicate with the Moderator.

The Chair’s Seat – The “Hot Seat”: The Chairperson should sit directly next to Laptop A. Since Laptop A is being used as the meeting’s primary microphone, the Chair needs to be close enough to the device to be heard clearly.

How Do I Configure the A/V?

Once everything is in place, follow these steps to prepare your meeting and prevent audio feedback.

1. Join the Pre-Meeting

During the pre-meeting, join the meeting from both laptops:

• Laptop B: Join the meeting with audio on. Use this laptop to communicate with the Moderator.
• Laptop A: Join the meeting as the A/V device. Turn the camera on, but keep the audio muted for now.

2. Perform the “Switch”

Approximately 5–15 minutes before the meeting starts, switch the audio settings:

• Laptop B: Mute the microphone and completely mute the system speakers.
• Laptop A: Unmute the microphone and speakers.

At this point, Laptop A should be the only device with active audio. If another device is unmuted, it can cause loud audio feedback.

3. Conduct the Meeting

Once the meeting begins, Board Members should speak clearly toward Laptop A so virtual attendees can hear them.

If an in-person attendee has a question, they should walk up to Laptop A to speak. If they are too far away from the device, virtual attendees may not be able to hear their question.

Useful Tip: Every hybrid meeting setup is a little different. That’s why we recommend testing your equipment and completing the A/V setup before you’re ready to go live.

Below is a sample pre-meeting checklist for GetQuorum fully hosted Virtual Meetings.  During the pre-meeting, the Moderator reviews specific procedural and technical details, including:

• Roles: Identification of the Chair and review of Moderator vs. Chair responsibilities.
• Proxies: Default proxy holder attendance, arrears, additional paper proxies, and general proxy procedures.
• Voting: Scrutineers, results scrutiny, live voting methods, elections, and specific motions.
• Logistics: Attendance, recording details, and overall meeting flow.
• Technical: Participant types, Zoom controls, and Q&A management.

Useful Tip: Every meeting is unique. That’s why even if you’ve held dozens of meetings, we highly recommend holding a Pre-Meeting every time to ensure all parties are prepared for any last-minute details or changes.

Earlier this month, the Condominium Authority of Ontario (CAO) announced several notable Governance and Tribunal changes affecting condominium corporations across the province, in relation to owner-meeting requirements and the Condominium Authority Tribunal’s jurisdiction over disputes related to owners' meetings.

While not scheduled to come into effect until later this year and in summer 2027, here's what owners and boards need to know about the upcoming changes.

What are the changes to the legislation regarding Owner-Requistion Meetings?

Starting December 31st, 2026, several changes to owner-requisitioned meeting requirements will come into effect, including:

New Mandatory Standardized Requisition Form - Owners wishing to requisition an owners' meeting will be required to use a new prescribed form that the CAO is currently developing to make requisitions more consistent and reduce disputes over whether they meet legislative requirements.

Extended Requisition Response Window - Condo boards will soon have 20 days to respond to any requisitions they receive, up from the current 5 days, to provide more realistic and workable expectations for boards and managers.

More ways to deliver a requisition - Owners will have additional delivery options for submitting a requisition. In addition to existing methods, requisitions may be delivered by prepaid mail, courier, by depositing them in the condo corporation's mailbox, or electronically, where the board has approved electronic delivery.

Formal Process for Revising or Withdrawing a Requisition - Boards will now need to provide rationale for denying a requisition. Owners will be notified of the board's decisions and will have 10 days to revise and resubmit the requisition. The new rules also specify who may withdraw a requisition and how that withdrawal must be made within 15 days of submission.

Owner-occupied Units are now called “Non-leased Voting Units” - Generally, a unit will be treated as non-leased unless the corporation's records show that it is leased, or the corporation has received the required notice that its owner has rented it out.

New Rules for Non-leased Board Director Positions - The amendments will introduce new requirements for optional board positions reserved for voting by owners of non-leased units. When meetings involve electing or removing directors from these positions, corporations will need to provide owners with additional information on eligibility requirements and the voting process.

More Information in Meeting Notices - Meeting notices will include additional information whenever reserved board positions are involved, including eligibility requirements, relevant legislative provisions, and instructions for participating in the process.

New CAT Jurisdiction and what it means for Ontario Condominium Corporations

Starting July 1st, 2027, the Condominium Authority Tribunal will expand its jurisdiction to include disputes about:

• Whether condo corporations hold owners’ meetings as required, including whether they are holding Annual General Meetings every year
• Whether condo corporations send notices to owners about upcoming owners’ meetings, and whether these notices go out within legally mandated timelines
• Whether the notices include all other legally prescribed items. (Ex. AGM notices must include items such as audited financial statements, auditor’s report, names of candidates up for election and their disclosure information, and anything else outlined in the governing docs of the condo corporation)
• Whether owners who requisition an owners’ meeting should be reimbursed reasonable costs incurred in situations where their condo corporation fails to call the meeting

Despite this expanded jurisdiction, the Tribunal will not be able to hear disputes about what happens during an owners’ such as proxy or ballot disputes.

In addition to the expanded jurisdiction, the maximum damages the Tribunal may award in eligible cases will also increase to $50,000 beginning on July 1st, 2027. This new limit will apply to Tribunal proceedings regardless of whether they began before or after the change comes into force.

When enabled, the Zoom AI Companion will use speech-to-text data to generate a summary of the meeting, which can be accessed through the GetQuorum Dashboard.

How does it work?

GetQuorum clients will now be able to enable and access AI Meeting Summaries for their virtual board meetings via a few simple steps.

How do I enable AI Meeting Summaries?

Step 1: Start your Virtual Board Meeting

Step 2: Click on the AI Companion Icon located at the top right corner of your meeting screen to open the pop-up window.

Step 3: Once the pop-up window is open, click “Start AI Companion” to turn on AI Meeting Summaries.

Please note: The AI Meeting Summaries can only be enabled by the host of the meeting.

How do I access meeting summaries?

Step 1: Go to the “Overviews” tab in the GetQuorum Dashboard

Step 2: Click on the “Documents” tab

Step 3: Click on the “Private Documents” tab to download your summary report.
